Property Administrator – Bristol Office



The Property Management team has a position available immediately in our Bristol Office for an experienced Administrator with a minimum of two years’ experience. The P&AM team focus on client requirements in order to maximise the value of the management process while never losing sight of the client’s overall strategy for the property and the role of the building within their business.

Through external electrical/mechanical consultants and in-house surveyors we actively pursue planned preventative maintenance programmes to reduce property risk and to improve the accuracy of service charge budgeting and recovery. We protect existing asset value, reduce property costs and capture value enhancement opportunities.

The ideal candidate will have extensive experience in commercial property management support, with a good knowledge of service charges, lease documentation, and property reporting/finance. They should also have excellent communication and IT skills, with an eye for detail and commercial awareness.

Key responsibilities:-

  • Compliance – arrange Health and Safety documentation for sites we manage e.g. risk assessment and fire safety procedure
  • Up loading documents to our compliance website
  • Providing KPI’s for property management team
  • Monitor weekly vacant property report and issue to property management team
  • Liaise with contractors
  • Code invoices, once approved by property manager pass to accounts team
  • Liaise with utilities company’s to provide accurate meter reads and answer queries
  • Draft service charge reports
  • Arranging inspections as per property managers requests
  • Liaising with tenants 
  • Other adhoc administration duties

Skills and Experience:-

  • A proven track record in administration and diary management
  • Experience working with commercial property, or the legal side of residential property such as conveyancing
  • Experience working in a firm of chartered surveyors, or an in house property team
  • Advanced IT skills including outlook and office products
  • Good attention to detail, with a strong numerical and written ability
  • Able to write clear, concise reports
  • Strong communication skills
  • Be able to work at pace
